Bartle: Guest computers are in the reference area near the research help desk.

Science: Desk Assistant or Staff member can issue ticket from green folder.

UDC: Community computer usage is limited to weekdays, between the hours of 8:00 am-4:00 pm.

Who has access? Binghamton residents and Binghamton University alumni.

Instructions:​

• Give the patron a time ticket. [Bartle: located in the second drawer of supervisor desk, in the back]

• Have the patron type the time ticket code on the “User Agreement” screen on the community computer and click “Agree”.
• Click on “BartleUser”.

To replenish time tickets:

• Open the Community Computer User Tickets Program. ['Com comp tix' - Little kid's face shortcut]
  • Username: admin
  • Password: Bartle13902
• Press the 'Reservations' button.
• In the white space, right-click and choose 'Add'.
• Choose 'Pool' (and keep the default option, 'Bartle').
• Under Reservation Details, choose to print a number of tickets in a multiple of 8 (8, 16, 24, 32).
• Click 'Next'.
• Click 'Finish', and the requests will print.

Scanning/Copying:

• Bartle: There are 2 Bookeye/KIC scanners located in the IC along the South wall (near the Research Help desk), 1 located in Fine Arts, and 1 located in the Grad Study Commons. There are also several flatbed scanners connected to computers in the alcoves of the Info Commons. We no longer have our copy machine.
• Science: Patrons can use the the KIC scanner then print their scan on the IC printers as normal.
• UDC: Patrons can also use the Bookeye 4 scanning machine or the scanner for free and email the file to themselves.
• Alternative: You can also refer patrons to SA Ink, which does not take printing quota money but can still help. SA Ink can also print in various sizes, cut/fold printouts, and send faxes. Call 607.777.4685, or email saink@binghamtonsa.org

  • For assistance with using the eFax service, contact the ITS Help Desk (607-777-6420) or helpdesk@binghamton.edu 
• Off campus: Staples is located on Vestal Parkway East, just west of campus on the right, and has faxing. 
  • Numerous online e-fax services. Just google it. (Usually free with a watermark or pay a couple bucks for one without).
• Various online sites, like FaxZero. Search for "free online faxing."

Fines can be paid with the Library Cashier, or through the QuikPay link on your my.binghamton.edu portal.

Check the Fines and Fees section on the Libraries Website for the most updated information about fines and fees.

The patron cannot check out a book without their ID. However, you may offer to place the materials on 24 hour hold shelf until the patron can return with their ID. On a piece of paper, write down the date, patron's name, and email, and place the paper in the book. Put the book on the miscellaneous hold shelf.

Bartle: You may check out the materials to the patron without their ID. Ask for their name, and then ask for their BU Login to check against what populates on the 'Manage Patron Services' page.

Lost and found items must be tagged with a note stating the date, time, and location where they were found. Items are turned over to University Police on a daily basis or may be turned over to patrons at a supervisor's discretion.

Bartle: Place valuable or small items in the bottom drawer of supervisor desk. Other items go on shelves in workroom.

Science: Use gloves to avoid items you do not feel comfortable touching. Fill out slip and place in bin near tech cart. Any items worth more than $50 cannot be returned to the patron directly and must be given to UPD. UPD will not take any easily replaceable items so leave those where they are for the patrons to find themselves.

UDC: All valuables (like wallets, phones, keys) need to be taken to the security guard immediately. Otherwise, place in lost and found drawer with a note attached with your initials and the date.

• Laptops are available at Bartle and Science Libraries for four-hour checkouts, or until closing, whichever is shorter.
• Gather laptop, charger, and laptop bag. Patrons are required to take the laptop bag.
• Ask patron if they want a mouse.
• Scan ID then scan items. Tell patron BOTH the length of checkout and exact due time (EXAMPLE: This is due in 4 hours at 6:32pm).
• For long-term rentals, patron may contact Audio Visual Services.

UDC: Laptops are not available.

In Alma go to the:

• Fulfillment tab
• Select "Manage Patron Services"
• Scan patron's ID in the "Scan Patron's ID or search for patron" box 
• Scan barcode (TN number) on the green slip in the "Scan item barcode" field
• Desensitize the item and hand it to the patron. Show them the due date printed on the green slip.

Community members who live within 50 miles may sign up for a guest card for a yearly fee of $25.

Alumni may sign up for free. 

Bartle: Only staff may sign up a patron at the desk. Only Laurie and Anna may take payments for annual fees. If they are not in at that time, the patron will need to return when they are in to complete the sign up process.

UDC: Use the following LINK to print out a borrower information card for the patron to complete. Let them know that a staff member can complete their request during regular staff hours (8am-5pm) with their completed form and a valid ID.

How does the Chat work?

When an account (Bartle, Science, or UDC) is logged in and available for questions, a "Chat With Us" box appears on the Libraries website. Patrons can click on this box and type in their questions, and employees communicate the answers.

How do I log in?

To log in, please visit the LibraryH3lp Webclient and type in your department's username (bartlechat, sciencechat, downchat) and password.

After signing in, you will be presented with a dialog box. Use the image and numbers below for assistance.

 

1. "contactus" is the back-end name of the chatbox. The green light means that the chatbox is live on the website and is accepting questions.
2. The auto logout feature automatically logs a user out when their shift is over. We do not use the auto-logout feature, because it can very easily log you out in the middle of answering a patron question!
3. Always set to Available.
4. Make sure the "I'm Staffing" box has a checkmark in it. This assigns you to the chatbox and will alert you of any questions that come in (and let you answer them). If this box is unchecked, the text changes to "I'm not staffing" and a warning is displayed (see image below).
5. Click "Connect now" to login!

How do I answer questions?

When a patron asks a question, it will show up on your screen and play a sound notification. The notification will continue sounding until you start typing back to the patron, or someone from a different branch sends that patron a message. If more than one patron asks a question, the screen will show both:

To answer patrons, simply type your response into the textbox at the bottom! Please style your messages like the ones below, including proper capitalization, spelling, and grammar. Use a professional, but conversational tone.

• "Hello. How can I help you?"
• "Thanks for reaching out! I'll be with you in just a moment."
• "Great question. Let me look that up for you."

Sometimes, you may need to look up the answer to a patron's question, and looking it up may take a few minutes. Always communicate with the patron that you are looking up the answer - don't just leave them hanging!

Additionally, a situation may arise where a chat question and in-person patron both need your attention. If there is no one around to help, prioritize the in-person patron over the chat patron. If you can, let the chat patron know that you will be with them in just a moment, or to please wait while you look something up.

How do I check what accounts are currently staffing the chat?

To check what libraries are currently logged in to chat, hover your cursor over the green light near "contactus". This will display the accounts currently logged in.

• Find locations and specifications here.
• Students, faculty, and staff can submit reservations here (Bartle) and here (Science).

Current BU students, faculty, staff, and research associates can request items via ILLiad. For more on interlibrary loan use this link.

• Note: Courtesy borrowers cannot make interlibrary loan requests (including materials displaced by ongoing renovations).

BU patrons must make the request themselves as they will need to log in with their PODS account. Here is the link they can use to login.

• If the patron is unable or unwilling to make the ILL request themselves, you can email mainill@binghamton.edu with their info and loan requests.

3rd Floor Renovations - Books in storage

3rd Floor books of Bartle Library will be housed at the Annex and at the Science Library until renovations are complete. However, the majority of the 3rd Floor collection is currently being stored at an offsite location in Johnson City while shelving is erected in the ground floor of the Science Library. These books are scheduled to return to the Science Library ground floor from October 2021 through Late Winter 2022. Until then, all inaccessible materials may be requested via ILL and our SUNY resource sharing network.

Limited printing is available in Bartle Library only as a courtesy service to visitors who use Bartle's Guest Computers. Visit the Reader Services Desk to discuss printing options (Currently, community patrons can have 1 courtesy print of up to 10 pages). 

BUC$ can no longer be used for community printing.

Other locations: Print Solutions, SA Ink, or MRC

Check item for damage. If it is damaged, do not check it in.

Bartle: Add a purple damaged slip to the item and place it next to the double-discharging station.

Science: Flag the book and place in staff mailbox.

UDC: Complete the Damaged Book form.

Reserves are located at Bartle and UDC and must be returned at the same desk where they were checked out.

Bartle: 

• Log into ALMA
• Go to the 'Fulfillment' tab
• Select 'Return Items'
• Select 'Scan item barcode'. Scan in the item twice to ensure it is removed from the patron's account.
• Reshelve item alphabetically, by author's last name or first word of title (DVD).
  • If it is a book, run it through the UV sterilizer before reshelving.

Bartle Reserves may NOT be returned at UDC or Science.

Science: Patron must return at Bartle (or UDC if they checked it out there). If someone dropped off a Reserve in our bin, tell a supervisor and then immediately walk it to Bartle.

UDC Procedures:

• Log into ALMA
• Go to the 'Fulfillment' tab
• Select 'Return Items'
• Select 'Scan item bar code'
• Place item alphabetically by the author's last name on the Reserves shelf; (in the staff office)

UDC Reserves may NOT be returned at Bartle or Science.

In Alma go to the:

• Fulfillment tab
• Select "Return items"
• Go to the "Scan item barcode" field as indicated
• Scan the barcode on the green band (TN number)
• Stamp with the red "RETURNED" stamp place on 'ILL Returns' shelf in hallway.

Science/UDC: Then place into the Bartle courier bin.

On the patron's main page of their Alma record, you will see "Active balance" on the righthand side. If you click on the balance, you can see more detailed information including itemized fines/fees, those being disputed, etc. You can also inform the patrons that they may look up their fine in their library account, which is linked on the library's homepage.

Check that all materials are present, then return in Alma.

Bartle: Place on shelf in corner of front desk (where most peripheral materials are kept).

Science: Place in gray file cabinet by training computer.

UDC: Place in cabinet behind the circulation desk.

A journal, magazine or newspaper published within the last year. These can only be viewed in the library (faculty may check out for one day through a staff member). These items are easily identifiable in that they lack any barcodes and have a dated received sticker on the cover.

Bartle: Current periodicals are located in the East Reading Room (1st floor) and in Fine Arts.

• Journals are removed periodically to be bound into larger volumes (often annually). Once they are bound, they are barcoded and able to be loaned.
• Newspapers are kept for 2 weeks, then recycled.

Science: Current periodicals are located on the first floor, separate from the main stacks. Newspapers are kept out for 1 month.

UDC: The only periodical the UDC carries is "The Chronicle."

Check that all discs are present and that the case is not damaged. Return in Alma.

Bartle: Return disc(s) to their corresponding sleeves in the green bins. Place empty case on the shelf in the hallway to be reshelved.

• Exceptions:
  • Course Reserves: Keep disc(s) in case and reshelve in Reserves.
  • Oversized/6+ disc cases: Keep discs in case. Remove dummy case from shelving in Circ Workroom and place Oversized/6+ case in its place. Place dummy case on the shelf in the hallway to be reshelved.

Science: Place in appropriate Bartle/UDC bin.

UDC: Return to DVD shelf in staff room.

If the meeScan is not working correctly, one thing that can be done to troubleshoot is to exit the app and start it up again:

• Triple tap the home button with a paper clip. End guided access, the passcode is 139022.
• Double tap the home button, swipe away the meeScan app.
• Open meeScan again, triple tap and start guided access again. Enter the passcode.
